1. Don't Dial, Document (Use the Official Channel) đź“§

While we love hearing from you, the fastest way to start a repair is almost never a casual phone call or a text message to a Board member.

- Always use your community’s designated platform—whether it's an online resident portal, a specific email address, or a formal request form. These systems automatically log the request, create a traceable ticket, and route it to the right person instantly.

Phone calls can be forgotten or misplaced. A logged request is trackable, ensuring accountability and preventing delays.


2. Be the Detective: Clearly Identify the Problem 🔍

A vague request like "The pump is broken" forces us to spend time figuring out what's wrong before we can even call a vendor. Be specific!

Instead of Saying... Try Saying...
"Something is broken in the gym." "The treadmill nearest the window (Unit 3) is displaying an error code and won't start."
"There's a leak." "Water is actively dripping from the ceiling above Unit 104's front door (common area hallway). It started at 7 PM."
"The light is out." "The third light pole on Oak Street after the cul-de-sac entrance is dark."

Key Details to Include:

- Location, Location, Location: Provide an exact address, building number, or specific landmark.

- The "What": What exactly is the visible problem? (e.g., "The gate is stuck open," "The fence panel is detached.")

- The "When": When did you notice it, or when did it start? (This is crucial for determining urgency.)

3. A Picture Is Worth a Thousand Words (and Zero Confusion) 📸

Attach photos or short videos whenever possible. Visual evidence is the single most helpful tool you can provide.

- A photo immediately tells the vendor what tools and parts they'll need, often allowing them to schedule the repair without an initial inspection visit.

Once you submit your request, please be patient. Here’s what happens next:
